Instagram gives businesses several formats, each suited to a different job. Reels reach new people, carousels teach and persuade, and Stories keep existing followers close. This guide covers when to use each, how to manage messages and a weekly routine a small team can keep.

Signals Instagram Rewards
In January 2025 Instagram head Adam Mosseri named watch time, likes per reach and sends per reach as the three signals that matter most. He said likes count slightly more with followers and sends count slightly more with non-followers. Content people want to send to a friend, such as a useful tip, a funny moment or a local recommendation, travels furthest.
Trial Reels
Trial reels are shown first to people who do not follow you. If one performs well, you can share it with followers too. They let a business test a new style of video without crowding the main feed.
Captions and Sound
Mosseri has also said that around half of video impressions on Instagram are viewed with the sound off. Add on-screen captions to every Reel, and write the post caption so it makes sense on its own. A few relevant hashtags and plain keywords in the caption help Instagram understand what a post is about.
Messages
DMs from people who do not follow you can land in a separate message requests folder, where they are easy to miss. Check it daily. Saved replies and the shared inbox in Meta Business Suite help a team answer common questions quickly and consistently.
Team Access
Never share the account password. Add the Instagram account to your business portfolio and give each person their own access, so you can remove someone without changing the login for everyone else. Turn on two-factor authentication for the account.
A Weekly Routine
- Plan posts for the week in Meta Business Suite, with at least one Reel.
- Post Stories on most business days with something timely.
- Answer DMs, message requests and comments every day.
- Spend 15 minutes engaging with local businesses, partners and customers who tag you.
- Review reach, sends and profile visits from the past week and repeat what worked.
In Practice
Consider a boutique fitness studio that posted only photos of its schedule. Switching to two Reels a week showing real classes, a carousel each month answering beginner questions and daily Stories with polls gives it far more profile visits, and a check of message requests turns up trial class inquiries that had sat unread for weeks.
